Version 3.1
This Privacy Policy explains how Choice Clinical Research, LLC, doing business as Candidate Connection (“Candidate Connection,” “we,” “us”) collects, uses and protects personal information. It covers visitors to candidateconnection.com, companies that contact or hire us (“clients”), and job candidates we assess on a client’s behalf (“candidates”).
Information we collect
From website visitors and prospective clients
- Contact details you submit through our website form or booking page: name, company, work email, phone number (optional), the role you are hiring for, number of finalists and any notes.
- Emails and messages you send us.
- Basic technical data collected automatically by our website host and website software, such as IP address, browser type and pages visited. We use this to keep the site secure and working.
From candidates, with their consent
- Contact details and travel preferences needed to arrange the assessment day.
- A copy of the candidate’s CV, provided by the client.
- Identity verification information. Candidates verify their identity at check-in on the assessment day through our identity verification provider, Plaid. This includes a photo of a government-issued ID, a short selfie video, name, date of birth and phone number. Plaid compares the selfie with the ID photo and confirms the person is present. We keep only the result and the date, and use them only within Candidate Connection; they are not included in reports or shared with clients. We do not store copies of ID documents. Our Project Manager also checks the candidate’s photo ID in person at check-in.
- A full-length photo taken at check-in, to document whether the candidate followed the dress instruction sent with their travel confirmation. It is not used for facial recognition or identity matching.
- Test results: a supervised knowledge test on GCPTraining.com (Good Clinical Practice, safety and 21 CFR Part 11), a monitoring test for CRA candidates, and, when a client requests it, indication testing.
- Interview observations, the CC-Score and the written report.
- Travel booking details required by airlines and hotels, and the Venmo or PayPal username, phone number or email needed to pay a travel stipend.
We do not collect Social Security numbers or bank account numbers. We do not perform background checks, criminal record checks, credit checks or employment verification.
Biometric information
The selfie comparison in identity verification uses facial geometry, which some laws treat as biometric information. It is used only to confirm that the candidate matches their ID. Plaid processes it on our behalf, and we obtain the candidate’s written consent first. Biometric information is never sold, leased or traded. It is permanently deleted within one year of the assessment, or sooner when its purpose is complete.
How we use information
- To respond to inquiries, schedule calls and provide our services to clients.
- To arrange candidate travel and conduct the assessment day.
- To prepare the CC-Score and written report for the client that requested the assessment.
- To keep records required for billing, tax and legal purposes.
- To protect our website, our business and the people who use our services.
We do not sell personal information, and we do not use candidate information for marketing.
Who we share information with
- The client that requested the assessment. The client receives the candidate’s report and CC-Score through a secure link limited to named people at the client. The report shows the result of our in-person photo ID check and contains only information from our own tests, interview and dealings with the candidate; it never includes ID images, selfies or identity verification provider results. It includes the candidate’s full-length arrival photo next to the dress (site-ready) result, and our agreement with the client limits use of the photo to that result. Clients may download the report. Once downloaded, the client’s copy is kept under the client’s own policies and our agreement with the client, which limits its use to the hiring decision.
- Service providers that help us operate, under confidentiality obligations: Microsoft (email, file storage and scheduling), Plaid (identity verification; see Plaid’s End User Privacy Policy at plaid.com/legal), GCPTraining.com (knowledge testing), our website host and email delivery provider, Venmo and PayPal (stipend payments), and airlines, hotels and travel-booking services.
- Authorities, when required by law or to protect rights and safety.
How long we keep information
Retention starts on the assessment day. For a candidate who never attends, or an inquiry that does not become a client, it starts on the date of last contact.
| Information | How long we keep it |
|---|---|
| Candidate consent, contact details, CV, test results, interview notes and travel records | 1 year, then deleted |
| Identity verification images and selfies (held by Plaid) | 1 year, then automatically deleted |
| Identity verification result and date | 1 year, then deleted |
| Our copy of reports and CC-Scores | 1 year, then deleted |
| Arrival photo | 1 year, then deleted |
| Website inquiries | 1 year from last contact, unless the inquiry becomes a client |
| Client business records | Length of the relationship plus 3 years |
| Payment records | As long as tax law requires |
Deleted files may remain in our providers’ recycle bins or backups for a limited time before they are permanently removed. We may keep information longer when required for a legal claim, investigation or legal obligation.
How we protect information
We protect personal information with multi-factor authentication, encryption, access limited to the people who need it, and reputable service providers. We do not store ID documents, Social Security numbers or bank account numbers. No method of storage or transmission is completely secure, but we work to protect your information and limit who can see it.
Your choices and rights
You may ask us to correct or delete personal information we hold about you, or withdraw a consent you gave us. Candidates may withdraw from an assessment at any time before it is completed. Depending on where you live, you may have additional rights under state law. To make a request, email contact@candidateconnection.com. We may need to verify your identity before acting on your request.
Children
Our services are for businesses and adult job candidates. We do not knowingly collect information from anyone under 18.
